About your Travel Booking
When you or your travel agent sent us a booking request; we immediately forward you a Quotation confirming the availability as per your request or a similar alternative. Once you have agreed with the quote, you will then instruct us to go ahead and book, of which we will issue you with a Confirmation Invoice for payment. All Bookings are subject to availability & we cannot guarantee availability for more than 24hours.
Any accommodation we arrange for you must only be used by those people named on your Voucher. You are not allowed to share the accommodation or let anyone else stay there. You are responsible for the cost of any damage caused to your accommodation or its contents during your stay. These charges must be met by you and may have to be paid directly.
Whether you book alone or as a group, we will only deal with the lead booking name in all subsequent correspondence, including changes, amendments and cancellations. You must be 18 years old at the time of booking and possess the legal capacity and authority to book as the lead name. You are responsible for ensuring the accuracy of the personal details or any other information supplied in respect of yourself and any other person travelling on the booking and for passing on any information regarding the booking or any changes made in relation thereto, to all persons travelling on such booking.
In addition, if your holiday includes a flight, you are also responsible for notifying us prior to the time of booking of any personal circumstances and needs pertaining to a person included in the booking including, without limitation, whether any such person is not self-reliant or is a person with reduced mobility – for example if you, or a member of your party, have difficulty in walking 500 metres.
Deposit and Payment – In order to confirm your booking
A 20% deposit of the full amount due is required to confirm a booking excepting Air travel, which requires 100% payment upon booking as Tickets have to be issued simultaneously.
The Final balance is due 60 days prior to departure date.
100% Of the Total Price is payable upon confirmation for bookings made less than 6 Weeks (42 days) prior to departure.
Greater deposits may be required in instances of Peak/High season, bookings outside Namibia or specialist products.
If the above payments are not received as indicated, Oshana Reservations will be unable to confirm the booking for you or/and reserve the right to cancel your booking.
The Rates Quoted on our Website are per Room / Campsite and they include 15% VAT & Bed Levy as prescribed by the Namibian Law.
Payment can be made by electronic bank transfer (EFT), direct bank deposit or by Filling in our Credit Card Authorization Form (ONLY MasterCard & VISA Credit Cards ACCEPTED)
Changes to Bookings
In a case where you wish to make a Voluntary Change to your booking, Oshana Reservations shall try to accommodate you. However Oshana Reservations reserves the right to charge the applicable cancellation fees.
Cancellation
If you want to cancel your booking, or part of it, you must contact us as soon as possible. Cancellation must be made in writing and in order to cover the cost of processing your cancellation and to compensate us for the risk that we may not be able to resell your travel arrangements, we’ll make a cancellation charge on the scale shown below, any non-refundable deposit will be forfeited.
- 60 to 45 days: 20% Cancellation fees
- 44 to 30 days: 50% Cancellation fees
- 29 to 14 days: 75% Cancellation fees
- 13 to 10 days: 100% Cancellation fees
- No show: 100% Cancellation fees
- All Cancellations and Refunds are subject to a 25% handling fee
Oshana Reservations will make every effort to avoid misquotation. However we reserve the right to cancel a reservation without liability or penalty if an obvious error or omission leads to a material cost implication.
No refunds will be given for partly used vouchers.
The above serves as an estimate, Please note that you may be charged for your cancellation in accordance with individual service providers, (pre)payment, no-show or not be entitled to any repayment of any (pre)paid amount as Oshana Reservations serves only as a third party Agent.
The above Cancellation policy may change at any time without prior notice.
Passport and Visas
You must ensure that you have the necessary travel documentation of the countries you intent to visit as Oshana reservations will not be held liable for any clients refused entry in any of the countries booked.
Your passport must have sufficient blank visa pages available in accordance with the regulations of various African countries. A minimum of 2 adjacent blank pages per country to be entered, transited or visited is recommended.
Your passport must be valid for the prescribed period contained in the applicable regulations of the countries you will be entering, transiting &/or visiting.
If you are travelling alone with minor children, you will need to provide a letter of consent from the absent parent/s that the children are allowed to travel with you. In June 2015 the South African Department of Home Affairs introduced new travel regulations. The new requirements state if you are travelling to or from South Africa with a minor (younger than 18 years old) you will be required to produce an Unabridged Birth Certificate. This certificate reflects the particulars of both parents. It is the responsibility of the adult to ensure to have the necessary documentation when travelling with a child or risk being denied boarding a flight.
Events beyond Our Control/Liability/Responsibility
Events beyond our control include war, threat of war, riots, civil disturbances, terrorist activity and its consequences, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks and pandemics, unavoidable and unforeseeable technical problems with transport for reasons beyond our control or that of our suppliers; closed or congested airports or ports, hurricanes and other actual or potential severe weather conditions, and any other similar events. Oshana Reservations will try to provide adequate alternative but will not accept any liabilities.
Oshana reservations and subcontractors of services act only as an agent for the supplier regarding your travel, whether by plane, car, ship, railroad or other transportation mode, and shall not be liable for injury, damage, loss, additional expense, accident, delay, schedule change or other irregularity.
Your Conduct
We reserve the right to refuse to accept you as a customer or continue dealing with you if we, or another person in authority, believe your behavior is disruptive, causes unnecessary inconvenience, is threatening or abusive, you damage property, you upset, annoy, disturb, or put any other traveler or our staff in any risk or danger, on the telephone, in writing or in person. All clients must at all times strictly comply with the laws, customs and foreign exchange regulations of all countries visited.
Insurance
It is a condition of your booking with Oshana reservations that you and all other members of your party, including infants and children, are adequately insured on holiday.
